THE CHALLENGE
Sony’s document output including printing, copying, faxing and scanning, was previously managed by several different groups, one of which was Upstream. In 2005 Sony requested that Upstream map out a new document management strategy to simplify print management.
David Cooley, Assistant Manager of Infrastructure for Sony Australia said: “It wasn’t a very efficient set up. We had five different contracts from different vendors and various leases at different prices with different levels of service. Pretty much everyone was ordering their own consumables. I wanted one point of contact, and one single agreement to cover all the hardware.

THE SOLUTION
A consistent platform that cut costs and simplified management was delivered. Sony’s monthly bills were reduced by $15,000 to $20,000, including costs which were previously counted as additional, such as service, consumables and paper. The company’s fleet was also reduced by 14%.
An additional benefit was that corporate environmental policies were also addressed, as all paper used is now either recycled or sourced from plantation forests.
Visibility on costs and one bill helped Cooley focus on the core part of his role:
“It’s great having so much less paperwork – everything now comes in one spreadsheet cost coded...we know what are costs are, and everything is very predictable...I can now focus on more strategic projects.”
And Cooley’s thoughts for those in the market for a new technical solution?
“..have a look at the account manager you’re going to work with. At the end of the day, a printer is a printer, but the account manager has to be someone who’s prepared to sit down with you and understand your business challenges and work through them with you. That’s what I have with Upstream.”
